Position Summary 

 CAPS is seeking a Project Associate based in Hong Kong. Reporting to the Director of Operations, this dynamic role offers an exceptional opportunity to gain hands-on, multi-faceted exposure to the inner workings and operations of a regional non-profit. Working directly across event execution, project coordination, system workflows and stakeholder management.

This role requires a proactive, detail-oriented communicator capable of multitasking and connecting the dots within a fast-paced, multicultural environment. Operating within a lean, collaborative team, the position offers distinct opportunities for professional growth and skill development across multiple operational functions, while delivering direct and visible impact on Asian philanthropy initiatives.

 

Key Responsibilities 

Event Logistics & Execution

  • Support end-to-end logistics for CAPS convenings, workshops, roundtables, and events—including venue sourcing, vendor management, and technical setup;
  • Act as a primary contact point for stakeholder management, ensuring seamless coordination with speakers, VIP guests, partners, and event attendees;
  • Manage event invitation pipelines, RSVP tracking, and clear, professional communications with invitees and attendees;
  • Provide hands-on, on-site administrative and operational support during events

 Project & Administrative Support

  • Provide flexible project support across organizational initiatives;
  • Support administrative logistics, calendar coordination, and meeting scheduling;
  • Provide other ad-hoc operational, logistical, or administrative support as required.

 

Workflow Management & Optimization

  • Manage administration for CRM database, perform regular data updates, and assist in system optimization to improve operational workflows;
  • Manage vendor relationships, procurement processes, and contract reviews to ensure timely service delivery;
  • Maintain and update operational documentation, SOPs, and system records to ensure high governance and efficiency.

Stakeholder Engagement

  • Assist in preparing proposals, contracts and briefing materials for donors and partners;
  • Support donor relationship management processes, ensuring accurate records and touchpoint tracking;
  • Draft and coordinate ad-hoc communications and engagement collateral.

Qualifications 

  • Bachelor’s degree in business administration, human resources, communications, public relations or related fields;
  • 2+ years of experience in project coordination, operations support, event management, or administrative workflows;
  • Native proficiency in English with superb written and verbal communication skills. Ability to work in Cantonese or other Asian languages is highly desirable;
  • Proficiency, experience, and willingness to learn how to work with digital tools and platforms including project management tools, CRM systems, Mailchimp, Canva, and Microsoft Office;
  • Interest in exploring how AI can support operational workflows, productivity, and organizational tasks;
